445's Duty Roster Templates

 
This page contains the duty roster Troop 445 uses for Philmont (and all other high adventure activities with modifications).  A presentation of the front and back of the duty roster given to each participant can be seen lower down on the page.

This duty roster is available for download as a MS Excel 2000 spreadsheet file HERE.  Either left click with your mouse to open the file in your browser, or right click with your mouse and choose "Save Target As" to copy the file directly to your computer.  The file consists of one workbook made up of six worksheets.  We built this workbook in planning for a 3 crew contingent for Philmont.  Each crew has 2 worksheets.

Excel file worksheets 1, 3, & 5 (Crew # Duty Roster) are complete 12 day duty rosters.  Each duty roster is based on a crew of 8 Scouts, then duties can be added or subtracted as needed (It turned out that each crew went to Philmont with 7 Scouts).  Each Scout has a morning and evening duty on the duty roster.  We do not include adult advisors on our duty rosters (adults are on vacation!).  You can add, subtract, or change each duty as desired (In our case, we subtracted an AM Bear Bag person and Fireman #2 from the rosters).  Below the duty roster is a list made up of each duty on the roster, and our expectations for the completion of each duty (just so there would be no questions).  Also included are lists of crew duties for each day on the trail.

Excel file worksheets 2, 4, & 6 (Crew # Itinerary Sheet) are copies of each crew's itinerary plan as listed in the Philmont TREKS book.  These worksheets can be edited as you like - they still contain our original information.  On these sheets, we also included a scanned image of the line-drawing of the itinerary as shown in the Philmont TREKS book (images are removed to decrease the Excel file size).

This duty roster example is set up for a crew with 8 Scouts.  
You can modify the roster to include anywhere from 7 to 10 Scouts as needed

Navigator Check maps the evening before your assignment/Report the next day's hike details to the group at TB&R/Lead crew decision making at trail crossings
Weatherman Give your forecast for the days weather before beginning the hike/Be available for up to the minute weather updates all day
Dweebe Step up and take the blame for anything and everything that goes wrong on your assigned day/Expect NO recognition for any good things
Trash Man Educate the crew on generating "clean" trash/Compact and carry the day's "clean" trash and the evening "Yum-Yum bag"/TRASH MAN IS NOT RESPONSIBLE FOR CARRYING EXTREMELY "DIRTY" TRASH THAT YOU GENERATE
AM Bear Bag IMMEDIATELY upon waking up get bear bags down and return to the crew fly area/Gently empty the bear bags/Take any personal & crew gear with you to pack your personal gear
Fireman Check fuel level in stove or stove fuel bottle and fill if necessary/Set up & light stoves at the appropriate time for cooking under orders of the cooks/ Break down stoves after KP is done
Waterman IMMEDIATELY after camp is set up, fill crew water containers and treat with Polar Pure as necessary/Collect ALL crew Polar Pure and recharge as necessary/Be available if needed during cooking and KP
Cook Lead the fireman and waterman in getting dinner done/Get water boiling in a timely manner/Cook according to package instructions/ Serve food to advisors and crew being careful of spilling food/Control the cooking area. Keep others out of the way unless they are assisting.
KP Prepare large pot of water for heating as soon as cooking is completed/Clean out all cooking pots as completely as possible before dish washing begins/Use largest cooking pot as wash pot & hot KP water pot as rinse pot/Control the group. Wash all personal gear before crew gear./Sump wash water appropriately and prepare "Yum-Yum bag"/Lay out all cookware by sump to dry overnight

CREW DUTIES UPON REACHING CAMP

1- LOCATE THE "BEARMUDA" TRIANGLE AT CAMP - BEAR CABLE, SUMP, & FIRE RING.
2- SET UP THE CREW FLY IN THE BEARMUDA TRIANGLE.
3- PLACE ALL CREW GEAR AND FOOD UNDER THE CREW FLY.
4- ALL CREW MEMBERS HELP HANG THE BEAR BAGS. LEAVE DINNER OUT.
5- SET UP PERSONAL TENTS & STOWE ALL PERSONAL GEAR.
6- WATERMEN IMMEDIATELY FILL THE CREW WATER CONTAINERS AND TREAT WITH POLAR PURE IF NEEDED.

CREW DUTIES BEFORE GOING TO BED

1- PLACE ALL PERSONAL SMELLABLES IN THE BEAR BAGS AND RE-HANG THE BEAR BAGS FOR THE NIGHT
2- TAKE DOWN CREW FLY (WEATHER PERMITTING)
3- PACK ALL NON-SMELLABLE PERSONAL AND CREW GEAR POSSIBLE
4- NAVIGATOR NEEDS TO GO OVER THE MAPS FOR TOMORROW'S HIKE

CREW DUTIES BEFORE HIKING IN THE MORNING

1- IMMEDIATELY UPON AWAKENING, THE MORNING BEAR BAG MEN GET THE BEAR BAGS AND EMPTY THEM WHERE THE CREW FLY WAS SET UP
2- PACK ALL PERSONAL GEAR, TAKE DOWN AND PACK TENTS, THEN GET PERSONAL GEAR AND CREW FOOD OUT OF BEAR BAG PILES

ANY CREW GEAR YOU CARRY IS YOURS TO CARRY FOR THE ENTIRE TREK
REMEMBER WHAT YOU CARRY IN CASE IT IS NEEDED IN AN EMERGENCY
